Content Archival Policy (CAP) – National Power Training Institute (NPTI) Website
The Content Archival Policy (CAP) defines the process for systematic retention, archival, and removal of outdated content from the NPTI website. The purpose of this policy is to ensure that the website remains current, relevant, and user-friendly, while also maintaining transparency by preserving historical records.
1. Objective
- To ensure that expired or outdated content is not displayed on active pages.
- To retain historical content in an archive section for reference and compliance.
- To maintain a balance between freshness of information and traceability of records.
2. Applicability
This policy applies to all categories of content hosted on the NPTI website, including:
- Notifications, circulars, and office orders
- Training schedules and course announcements
- Tender documents and recruitment notices
- News, press releases, and event updates
- Publications, reports, and presentations
3. Content Expiry & Removal
- Time-bound content (e.g., tenders, admissions, recruitment notices) will be marked with an expiry date at the time of publishing.
- Such content will be automatically or manually removed from the active section within 48 hours after expiry.
- Non-time-bound content will be reviewed during the quarterly content review process, and if found outdated, will be marked for archival.
4. Content Archival Process
- Expired content will be transferred to a dedicated “Archive” section of the website.
- The archived content will be categorized based on type (e.g., “Archived Tenders,” “Archived Training Schedules,” “Archived Circulars”).
- Archived files will remain in their original format (PDF/HTML/Doc) to maintain authenticity.
- Archived content will be accessible for a minimum of 2 years for public reference unless otherwise mandated.
5. Permanent Deletion
- After the archival period, content will be permanently removed from the website only with the approval of the Web Information Manager (WIM) and notification to the Director General, NPTI.
- Critical documents of long-term importance (policies, manuals, major publications) will never be deleted and will remain permanently accessible.
6. Roles & Responsibilities
- Content Contributors (Departments/Divisions): Specify expiry dates and ensure timely communication of outdated content.
- Web Information Manager (WIM): Monitor expiry timelines, manage archival transfers, and authorize deletions.
- Website Administrator (Technical Team): Ensure proper categorization, transfer, and functioning of the archive section.
7. Audit & Compliance
- A log of all archived and deleted content will be maintained by the WIM.
- Archived data will be reviewed during the quarterly content review.
- The archival process will be aligned with Government of India website guidelines and STQC requirements.
8. Policy Review
- This policy will be reviewed annually or earlier if required due to changes in organizational needs or government directives.
